Email Lead Notifications

Email Lead Notifications send you an email alert every time a lead is captured in your funnel. The email includes all form data and lead metadata, so you can see new leads in your inbox in real time. This works for both complete and partial leads.

Setting Up Email Notifications

  1. Open your funnel in the builder.
  2. Go to the Lead Delivery tab.
  3. Find the Email Notifications section.
  4. Toggle Enable Email Notifications on.
  5. Add recipient email addresses (up to 5).
  6. Customize the Subject Line (optional, default is "New Lead").
  7. Click Save.

Subject Line Tokens

You can use tokens in the subject line to include dynamic information:

Token Replaced With
{funnelName} The name of the funnel
{email} The lead's email address
{firstName} The lead's first name
{leadNumber} A sequential lead number

A lead number is automatically appended to the subject line to prevent your email client from threading multiple lead notifications into a single conversation.

What the Email Contains

Each notification email includes:

  • Form Fields: Every field the lead filled out, including visible and hidden fields.
  • Lead ID: The unique identifier for the lead.
  • IP Address: The visitor's IP address.
  • User Agent: Browser and device information.
  • Timestamp: When the lead was submitted.
  • Funnel Name: Which funnel captured the lead.

The email uses a clean table layout that works across Gmail, Outlook, Apple Mail, and mobile devices. For partial leads, the email indicates that the submission was incomplete.

Sender Information

Notification emails are sent from leads@leadcapture.io. The sender display name defaults to "LeadCapture" but can be customized:

  1. Go to Settings in your dashboard.
  2. Click the Integrations tab.
  3. Find the Email Notifications section.
  4. Update the Sender Name field.

This sender name is used across all funnels in your account.

Delivery and Reliability

Email notifications are delivered asynchronously through a dedicated queue, just like webhooks. This means:

  • Sending the notification does not slow down the lead submission experience.
  • If the email fails to send, it is automatically retried.
  • Delivery attempts are logged on the lead detail page with the integration type "Email Notification".

Pro Tips

  • You can add up to 5 recipient email addresses per funnel. Use this to notify your sales team, yourself, and any other stakeholders.
  • The subject line is limited to 100 characters.
  • If you are receiving a high volume of leads, consider using webhooks or Zapier instead of email notifications to avoid inbox overload.
  • Check your spam folder if you are not receiving notifications. Add leads@leadcapture.io to your contacts or safe sender list.
  • Email notifications work alongside webhooks and other integrations. Enabling notifications does not affect your webhook delivery.
