Managing Agency Client Workspaces in LeadCapture
Agency Client Workspaces allow you to manage multiple client accounts from a single LeadCapture agency account. Each client gets their own isolated workspace, while you and your agency team can access and manage all client accounts from one central portal.

Accessing Client Workspaces
From your LeadCapture account:
- Go to Lead Funnels in the left navigation.
- Click Client Workspaces.
If you do not see the Client Workspaces option, your account may not currently be configured as an agency account. Contact LeadCapture support if you need your account converted.
Inside the Client Workspaces portal, you can:
- View your agency's client workspaces
- Add new clients
- Enter existing client accounts
- Configure individual client settings
- Access the Brand Hub
- Manage your shared lead and credit pools
- View archived client accounts
There is no limit on the number of client workspaces you can create.
Internal vs. External Workspaces
LeadCapture supports two types of agency relationships.
Internal Workspaces
Internal Workspaces are client accounts created and controlled through your agency account.
This will typically be the option agencies use when they are managing LeadCapture on behalf of their clients.
With an Internal Workspace:
- The client account is connected to your agency account.
- Your agency controls the workspace.
- The client cannot disconnect the workspace from your agency.
- You can enter the workspace and manage funnels, leads, settings, and other account information.
External Workspaces
External Workspaces are designed for clients who already own their own LeadCapture account.
Instead of creating an account for them, you request access to their existing account. Once they approve the request, your agency can access their account, help manage funnels, make changes, and review their data.
Because the client owns the account, they can revoke your agency's access at any time.
Agency and Client Permissions
Every client workspace is isolated from the others.
As the agency account holder, you and your agency sub-users can access your clients' workspaces, including their funnels, leads, surveys, and other account information.
Your clients cannot access:
- Your agency account
- Another client's workspace
- Another client's funnels
- Another client's leads
- Another client's surveys
- The Client Workspaces section of your agency portal
A client can only see the information associated with their own workspace.
Entering a Client Workspace
From Client Workspaces, locate the client you want to manage and click Enter.
You'll now be working inside that client's LeadCapture account and can access their funnels, leads, settings, and other workspace information.
A banner at the top of the account shows which client workspace you are currently managing.
When you're finished, use the option in the workspace banner to return to your Agency Portal.
Customizing Your Agency Brand Hub
The Brand Hub lets you customize the experience clients see when accessing LeadCapture through your agency.
From Client Workspaces, click Brand Hub.
You can customize:
- Agency logo
- Favicon
- Brand color
- Portal name
- Browser title
- Agency subdomain
Your branding is applied throughout the client experience, including the client portal and funnel builder.
Note: Agency branding is currently a co-branded experience, rather than a fully white-labeled version of LeadCapture.
Setting Up Your Agency Subdomain
You can give clients a branded URL for accessing their accounts instead of sending them directly through the standard LeadCapture login experience.
For example:
youragency.leadcapture.io
To configure your subdomain:
- Open Brand Hub.
- Enter the subdomain you want to use.
- Save your settings.
- Contact LeadCapture support.
There are additional configuration steps that must be completed by LeadCapture before your agency subdomain will work.
Once configured, client invitations and login links can route through your branded agency experience.
Creating a Client Workspace
To create a new client:
- Go to Client Workspaces.
- Enter a Workspace Name.
- Enter the client's Company Name.
- Click Add Client.
Creating the workspace does not automatically give the client access. You will still need to invite them.
After creating the workspace, click Settings to configure it.
Configuring Client Workspace Settings
Inside the client's workspace settings, you can configure:
- Workspace name
- Company name
- Workspace slug
- Lead cap
- Credit cap
- Domain cap
- Client access and invitations
The workspace slug gives the client their own dedicated workspace path.
Keeping the slug short and easy to recognize is recommended.
Understanding the Shared Lead Pool
Your agency plan includes a monthly lead pool that is shared across your agency account and its client workspaces.
For example, if your agency includes 20,000 leads per month, those 20,000 leads are shared across all of your clients and any leads generated through your own agency account.
By default, a client can draw from the shared pool without an individual limit.
This means a high-volume client could potentially consume a large portion of your agency's available monthly leads.
Setting Client Lead Caps
You can prevent a client from using too much of your shared lead pool by assigning them a monthly lead cap.
For example, if you set a client's lead cap to 500, that workspace can capture a maximum of 500 leads per month.
To set a lead cap:
- Open Client Workspaces.
- Click Settings for the client.
- Enter the client's Lead Cap.
- Save your changes.
Setting caps is optional, but it can help prevent one client from consuming the majority of your monthly allowance.
Setting Credit Caps
Credits are also shared across client workspaces.
You can assign each client a credit cap to control how many credits they can consume from your agency's total credit pool.
To configure this, open the client's workspace settings and enter the maximum number of credits that workspace should be allowed to use.
Setting Domain Caps
You can also limit the number of custom domains available to an individual client workspace.
The domain cap applies when a client is using custom URLs or domains for funnels hosted through LeadCapture. It does not apply simply because a LeadCapture funnel is embedded on an external website.
Adding More Leads
If your agency needs additional monthly lead capacity, you have two options:
- Upgrade your LeadCapture plan
- Purchase additional lead packs
Lead packs can be added or removed as your volume changes, which can be useful for agencies with seasonal traffic or fluctuating client volume.
Inviting a Client
Creating a workspace does not automatically create a login for your client.
To invite them:
- Open Client Workspaces.
- Click Settings next to the client's workspace.
- Enter the client's email address.
- Send the invitation.
You can also:
- Resend an invitation
- Revoke a pending invitation
Client invitation links expire after seven days, so we recommend letting the client know to expect the email and complete their account setup promptly.
What the Client Sees
When the client opens their invitation, they'll be taken through your branded account setup experience.
They'll create a password and then sign in through your co-branded client portal.
Inside their account, they can see:
- Their own funnels
- Their own leads
- Their own workspace limits
- Their allowed domains
- Their available credits
- Their LeadCapture tools and features
They cannot:
- View your agency's other client workspaces
- Access another client's data
- Change your agency plan
- Purchase lead packs on behalf of your agency
Adding Client Sub-Users
Clients can invite their own employees or team members into their workspace.
From inside the client account:
- Go to Subusers.
- Add the additional users who should have access.
These users are associated with that specific client workspace.
Cloning Funnels Between Client Workspaces
Agency accounts can quickly deploy funnels to client accounts by cloning them between workspaces.
To clone a funnel:
- Go to your agency's Lead Funnels section.
- Locate the funnel you want to copy.
- Choose Clone.
- Select the client workspace where the funnel should be added.
The cloned funnel will then appear inside that client's workspace.
Funnels created inside a client workspace do not automatically appear in your agency account.
To view a client's funnels, go to:
Client Workspaces → Client → Enter
Removing Client Access
If you no longer want a client to access their workspace, you can revoke their access.
From Client Workspaces, locate the client and revoke access to the account.
The workspace will move into your inactive or archived client area.
If you later want to give the client access again, you can restore the workspace.
Using Client Workspaces With MCP, Claude, or Codex
If you're using LeadCapture's MCP server to build funnels, create surveys, make changes, or review data through tools such as Claude or Codex, each client workspace can have its own API key.
To generate a client API key:
- Enter the client's workspace.
- Go to Account Settings.
- Open Developer.
- Create an API key for that client account.
- Use that API key when connecting the client's LeadCapture workspace to Claude, Codex, or another supported MCP client.
Using the client's API key ensures that the AI connection operates within that specific client's workspace.
